What a missed after-hours call costs you

Do the math with your own average ticket

A caller with no cooling on a Florida night is not going to wait for morning. If nobody answers, they call the next company.

Here is the arithmetic. Use your own numbers.

Missed calls a week x the share that would have booked x your average ticket = the work that went elsewhere.

Example with made-up numbers, so you can see the shape: 5 missed calls a week, 3 in 10 of them would have booked, and your average ticket is $400. That is 5 x 0.3 x $400 = $600 a week. Your numbers will be different. Your average ticket is the one that counts.

How the script handles HVAC calls

The questions your dispatcher would ask

No cooling or no heat.

Asks what the system is doing, how long, the address, whether anyone vulnerable is in the home, and the best window. Flags it urgent when the caller says so.

Water leaking from the unit.

Asks where the water is, whether the system is off, and the address.

Tune-up or maintenance.

Takes the name, address, system age if known, and the window. Sends it to you as a request.

New system quote.

Takes the details and the best time for an estimate.

Existing customer calling back.

Takes the message and flags it as a callback.

Wrong trade or wrong area.

Politely says you do not cover it and ends the call.

True emergencies are warm transferred: your mobile rings, you hear who and what, and you press 1.

Bilingual

English and Spanish, same quality

The receptionist answers in the language the caller starts in. The text summary comes to you in English, with the caller's words kept as they said them.
